Dear Ai Ling,
Thank you for your interest and questions. Hope the following answers will allay your concerns. We'll be posting the following in a FAQ section for transparency.
1) Why is there a need to indicate the member's details and signature? Is the ballot suppose to be secret?
The requirement to indicate the member's details and signature is for verification purposes. As it is not possible to change it for this election, we'll make a note for the next EC to consider an alternative form of verification procedure.
For this election, the ballot form have been designed to separate the member's details from the vote to maintain the confidentiality of the ballot.
2) If a member forget to initial on the vote page, will it become invalid?
No, it will not become invalid. The ballot form is valid, regardless of whether the initial is present or not (Point 8, bullet #5 on the ballot form was for the old multi-page form and should have been removed. Sorry for the confusion).
3) Who have/can access the ballot forms?
During ballot process, only MENSA office, who is collecting the forms, will have physical access of the ballot forms. The ballot forms will be sealed in a signed envelop/box upon closing of submission period for transfer to AGM.
During the vote counting, only the observer(s) counting the votes will have physical access to the ballot forms. All the ballot forms will be check for validity first before the counting of votes. As the ballot form will be keep folded at all times, either voter's particular or the votes will be visible at any instant.
After the election, the ballot forms will be sealed in a signed envelop/box for one month, pending any appeal. No one will have access of the ballot form unless there is an appeal that warrants it. In such a case, the signed envelop/box will only be opened in the presence of the EC. The ballot form will still be keep folded at all times, such that either voter's particular or the votes will be visible at any instant.
4) After elections are over, how will the ballot forms be managed/archived?
The ballot forms will be sealed in a signed envelop/box for one month, pending any appeal. The ballot forms will be destroyed after the appeal period.
